This Privacy Policy is designed to be transparent and easy to understand. It explains what data we collect, how we use it, and most importantly, how we protect it.
Our philosophy is simple: Trackion is a tool for empowerment, not surveillance. We are committed to ethical data practices and building a platform that fosters trust between employers and teams.
Key Privacy Principles:
- We are a Data Processor: Our Customers (e.g., your employer) are the "Data Controllers." They own and control their data. We only process data on their behalf and according to their instructions.
- We NEVER Sell Your Data: We will never sell, rent, or trade your personal information or the data collected by the Trackion service to any third party for marketing purposes. Ever.
- We Prioritize Ethical Design: Trackion is an ethical monitoring solution. We do not use invasive features like keylogging or continuous, random screen recording. We focus on high-level productivity metrics that provide insight without invading privacy.
2. What This Policy Covers
This policy applies to:
- Website Data: Information we collect from visitors to our website (trackion.com), such as from contact forms or analytics.
- Service Data: Information we process on behalf of our Customers when they use the Trackion software, or other Evolwork applications (the "Services").
3. Information We Collect
A. Information You Provide to Us (Website & Account)
- Account & Sign-up: When you sign up for a free trial or a paid account, we collect information like your name, email address, company name, and password.
- Billing Information: When you subscribe to a paid plan, we (or our secure payment processor, e.g., Stripe) collect payment information. Trackion does not store your full credit card details.
- Support & Demo Requests: When you contact us for support, request a demo, or fill out a form, we collect your name, email, and any other information you provide.
B. Information We Collect Automatically (Website)
Cookies & Analytics: Like most websites, we use cookies and analytics tools (like Google Analytics) to collect non-personal information about your device, browser type, IP address, and how you interact with our website. This helps us improve our marketing and user experience.
C. Information We Process on Behalf of Our Customers (The "Service")
This is the data Trackion is designed to process. This data is owned and controlled by our Customer (your employer).
- User Information: Name, email, and job title (as provided by the Customer).
- Productivity & Time Data: This includes data captured by the Trackion agent, such as:
- Time and attendance (e.g., from Clocin).
- Time spent on specific applications, websites, and projects.
- Activity levels (based on keyboard/mouse movement).
- Application names and website URLs.
- Task and project names (as defined by the Customer).
As stated above, this service does not include keylogging or continuous screen recording.
4. How We Use Your Information
- To Provide and Maintain the Service: To operate the Trackion platform, display productivity data to you and your employer (our Customer), process time/attendance, and ensure our services are working correctly.
- To Process Payments: To bill our Customers for use of the Service.
- To Communicate With You: To send service-related updates, security alerts, support messages, and (if you opt-in) marketing communications.
- To Improve Our Services: To analyze usage trends (in an aggregated, anonymized way) to understand how we can improve our product, features, and website.
- For Legal & Security Purposes: To enforce our terms of service, prevent fraud, and comply with legal obligations.
5. How We Share Your Information
- With Our Customers (Your Employer): All Service Data collected is accessible to the Customer who owns the account.
- With Third-Party Service Providers: We use trusted third parties to help us operate our business (e.g., cloud hosting like AWS, payment processors, customer support software). These providers are bound by strict confidentiality agreements and are only permitted to use the data to perform services for us.
- For Legal Compliance: We may disclose information if required by law, subpoena, or other legal process.
- In a Business Transfer: If Trackion or Evolwork is involved in a merger, acquisition, or sale of assets, your data may be transferred as part of that deal (with notice provided to you).
6. Data Security & Retention
- Security: We take data security extremely seriously. We use industry-standard administrative, physical, and technical safeguards to protect your information, including SSL encryption for data in transit and encryption for data at rest.
- Retention: We retain your account information for as long as your account is active. We retain Service Data according to the terms of our agreement with our Customer (the Data Controller).
7. Your Data Rights (GDPR, CCPA)
Depending on your location, you may have specific rights regarding your personal data, such as the right to access, correct, or delete your information.
- If you are a Website Visitor: You can contact us at support@trackion.io to exercise your rights.
- If you are an Employee of a Trackion Customer: You must direct your request to your employer (the Data Controller). Trackion is a Data Processor and cannot delete or modify your employer's data without their express permission. We will work with your employer to help them respond to your request.
8. Healthcare & HIPAA
Trackion is a HIPAA-compliant vendor. For our healthcare customers, we will sign a Business Associate Agreement (BAA). Our platform is designed to avoid capturing Protected Health Information (PHI) and operates with the strict security and privacy controls required by healthcare organizations.
9. Children's Privacy
Our services are not intended for or directed at individuals under the age of 16. We do not knowingly collect personal information from children.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make significant changes, we will notify you by email or by posting a prominent notice on our website before the changes take effect.
