Roles: who can see what

What Org Admins, HR Managers, Managers and Employees can see and do.

Updated October 22, 2026 1 min read

Every person in Trackion has one of four roles. The role decides which pages they can open; their reporting line and groups decide which people they can see.

Org Admin

  • Sees everyone in the organization.
  • Manages employees, groups and projects.
  • Opens Global Settings, Deleted Employees and Billing.
  • Turns AI access on or off and chooses the allowed AI apps.

HR Manager

  • Sees everyone except people an Org Admin has excluded from HR.
  • Manages employees, groups and projects.
  • Can connect ChatGPT or Claude once AI access is on.

Manager

  • Sees the people who report to them, at every level below them, and the members of groups they manage.
  • Opens the team dashboard, work sessions, screenshots and the six reports for those people.
  • Cannot add or edit employees, groups, projects or settings.

Employee

  • Sees their own dashboard, work sessions, screenshots and workstations.
  • Cannot open reports.

HR exclusions

Org Admins can hide selected people from HR Managers in Global Settings. Excluded people stay hidden from HR Managers in the app, the reports and the AI Assistant.
